Delete your account and your data

This page explains how to delete a Clic Horaire account (iOS or Android app, web app, or organization account) and what happens to the data attached to it. There are two paths: the immediate action inside the app, and a written request, which requires no sign-in.

You are an employee using the app

Your account is yours. Your employment record belongs to your employer.

That is the distinction to remember, and it comes from Quebec law. Your ACCOUNT (your credentials, your contact details, your photo) belongs to you, and you can delete it yourself, right now, without asking anyone. Your EMPLOYMENT RECORD (your hours, your punches, your timesheets) belongs to your employer, who is the enterprise responsible for that information and whom the law requires to keep it. We act on that record only on their instruction.

  • In the app: Profile, then “Delete my account”. Your password is asked again, and deletion is immediate: the account is anonymized, every session on every device is closed, and your employment files go dormant.
  • This action does not touch your hours register: it stays with your employer for as long as the law requires. See “What is deleted, what is kept” below.
  • For the employment record itself, send your request to your employer: human resources, your supervisor, or the account administrator.
  • If you do not know whom to ask, or if your request goes unanswered, write to us: we relay it to the responsible employer and confirm to you that it was passed on.
  • You may at any time ask us to delete information we hold on our own behalf about you, for example an exchange with our technical support.

You are the customer or the account administrator

You can have the whole organization deleted, in the right order.

If you are the person who took out the subscription, or an administrator of the organization, you can request deletion of your account and of all the data it holds. The order of operations matters: the account holder cannot disappear before the organizations they carry.

  • Export first whatever you want to keep: timesheets, pre-payroll, registers and employee documents remain downloadable for as long as the account is active.
  • Then close your organizations. While an organization is still active, deleting the account holder is refused: that is what prevents an account from vanishing and leaving its staff’s payroll records behind.
  • Deletion is permanent and covers the whole organization, including the profiles of the employees attached to it.
  • Remember that the Act respecting labour standards requires you, as an employer, to keep your hours register and payroll system for three years.

How to make the request

The fastest route is the action inside the app, which requires no procedure at all. For everything else (the employment record, a whole organization, or if you no longer have access to the app), the form below is enough: no sign-in to open, no email to write. We acknowledge receipt promptly and answer within the 30 days set by Law 25 at the latest.

    Profile, then “Delete my account”. Password asked again, deletion immediate, no waiting and no form to fill in. If you no longer have the app, or if your request concerns the employment record, use the form below.

    Fill in the form

    Give the email address attached to the account concerned, the name of your organization (or your employer’s), and say whether the request covers your profile alone, your employment record, or the entire organization. It reaches us already sorted.

    We verify your identity

    We will ask you to confirm the request from the account’s email address, or through another reasonable verification. That is what stops someone else from having your data deleted.

    We confirm the deletion

    You receive written confirmation stating what was deleted, what was kept and why, along with the date on which backup copies are permanently destroyed.

A few fields, and the request reaches the right person. The email address is the one on the account concerned: it is how we will verify your identity, and without it we cannot act.

What does your request cover?

What is deleted, what is kept

Deleting an account does not erase a payroll record, and that is deliberate: Quebec law requires your employer to be able to show who worked, when, and how much they were paid. We would rather tell you here than let you find out. So here, without rounding the corners, is what disappears and what remains.

Deleted

  • Your account and your sign-in credentials: email address, password, username, phone number, home address and profile photo. Your displayed name becomes “Deleted account”.
  • Every session, on every device: the app stops working immediately and no notification reaches you any more.
  • Your employment files go dormant in each organization: you can no longer be scheduled or assigned, and you leave the team lists.
  • On request, the information we hold on our own behalf about you, for example an exchange with our technical support.
  • All of the organization’s data when the request comes from the customer: schedules, punches, timesheets, pre-payroll, clients and projects.

Kept, and why

  • Your name in your employer’s hours register and payroll system: three years, as the Act respecting labour standards requires of them, and longer under some decrees. A register that did not say who worked would not be a register.
  • Your punches, and the locations attached to them, for the same period and the same reason: they are the supporting evidence for the hours paid.
  • Your messages in the organization’s messaging, under the label “Deleted account”. Removing them would cut your colleagues’ conversation to pieces and make it unreadable, and a site instruction or an exchange about an incident may need to be read again long afterwards.
  • Documents filed in your employee record, for as long as the employer’s retention obligation runs.
  • Invoicing documents and accounting records: six years, as federal and Quebec tax laws require.
  • The audit trail, kept append-only, to the extent needed to demonstrate the integrity of pre-payroll data; entries are depersonalized as soon as the purpose allows.
  • Whatever we must keep in response to a legal obligation, a court order, or an ongoing investigation.

Once those periods have passed, the information is securely destroyed, or anonymized according to generally accepted criteria, as provided by section 23 of Law 25.

Timeframes

Immediate
The action inside the app: the account is anonymized and sessions closed on the spot, without waiting for us.
Within 72 hours
Acknowledgement of a written request and, if needed, verification of your identity.
Within 30 days
Processing and written answer, in accordance with Law 25. The account is deactivated as soon as the request is validated.
Within 90 days
Purge of encrypted backup copies, which run on a short retention cycle.

Mobile apps

The Clic Horaire apps for iOS and Android are published by Clic Horaire inc. Account deletion happens directly in the app, under Profile: it is immediate and makes the app unusable on all your devices. Do not confuse it with uninstalling, which deletes nothing: your data stays in your employer’s organization until the request described above has been made.
