Generating a pre-payroll export

Assemble the columns your payroll software expects, check what goes into the file, and understand what a preview does not freeze.

Pre-payroll is the bridge between hours punched in the field and your payroll software. Clic Horaire does not pay wages: it produces the file your system expects, with your own header codes.

The columns are assembled once. After that, each cycle comes down to three moves: pick the period, check, download.

Before you start

  • The “Manage payroll” permission.
  • The period's timesheets approved: the ones that are not stay out.

    Open the pre-payroll export

    In the Payroll section of the sidebar, unfold “Exports” and choose “Pre-payroll”. The page opens already positioned on the current pay period.

    The other menu entries cover the monthly and annual parity committee reports.

    Pick the period

    The two dates bound the pay period. The “Paid on” field timestamps the payment inside the file, when your software asks for it.

    “Refresh” recomputes the table. Nothing is cached: the total shown is always that of the hours approved at this instant.

    Unapproved timesheets are excluded

    An amber banner gives the number of timesheets in the period still waiting for approval. They are not in the file: and neither is their total. Approve them before exporting, or payroll will go out incomplete.

    Understand what a preview does not do

    The pre-payroll export is a preview: it reads the hours, it does not touch them. You can run it as many times as needed, correct a timesheet between two passes, start again.

    Freezing the period is a different decision, carried by “Create a pay run”: that is where timesheets lock and the cycle closes. A pay run does not undo with one click.

    Assemble the columns

    “Manage columns” opens the file layout. Each line pairs two things: on the left the header code your payroll software expects (MATRICULE, REG, SUP) and on the right the Clic Horaire value that fills it.

    The catalogue on the left lists everything available: employee information, period dates, hours worked and overtime, premiums, banks. Lines can be dragged to change the order of the columns in the file.

    The codes are yours

    If your software expects “HRS_REG” rather than “REG”, write “HRS_REG”. Clic Horaire imposes no vocabulary: the file adapts to your system, not the other way round.

    Save the layout as a template

    Name the layout and save it. Next cycle, the template reopens as it was: columns are assembled once, even when several people take turns on payroll.

    Several templates can coexist: one per destination software, or one per category of staff.

    Download the file

    The CSV goes straight into an automated import. The Excel file carries the same data, more readably: it is the one you open to reread a payroll before sending it.

    The file contains only the columns of the layout, in the order of the layout, for the period's approved timesheets alone.

    Both buttons produce exactly the same rows.

What to remember

Knowing who exported what

“Exports → History” logs every generation: the author, the date, the template used, the fields retained and the clients covered. If a transmitted payroll is ever in doubt, that is where you find under what conditions the file was produced.

Pre-payroll is not the parity committee report

The monthly CPEEP report and the decree forms live on their own pages, under “Exports”. They read the same hours, but their format is imposed by the committee: there is nothing to assemble.
