A schedule in Clic Horaire is a person, a day, and one or several shifts on a site. It is also the forecast that real punches will be compared against: a well-placed shift makes a timesheet that reads itself.
The dialog fits on one screen and computes as you go. You know what the day will cost before clicking “Create”.
Before you start
- The “Manage schedules” permission.
- A client and a project already created: a shift attaches to a site, never to thin air.
- 1
Pick the right entry point
“New schedule” handles one case: one person, one day. That is the one this article covers.
Beside it, “Bulk creation” covers a whole crew over a period, and “Dynamic add” fills a recurring need from rules. Three paths, three scales: start with the simplest.
The calendar switches between month and week view, and filters by employee or by project. - 2
Who works, and where
The client first, its project next: the project list narrows to what the client owns.
The employee list narrows too. Someone attached to specific clients only appears for those; someone with no restriction stays offered everywhere. A departure already past removes them from the list: but a future end date leaves them schedulable up to their last day.
Changing client deselects the employee if they are no longer eligible. - 3
Check the shift's decree
The “Decree” line is not filled in: it is read. It states which agreement will be used to pay this shift, and where that answer comes from: here, inherited from the organisation.
It is a cascade: the shift may impose its decree, otherwise the project, otherwise the organisation. “Override” serves the particular case (a one-off site under another agreement) without touching the general setting.
The decree decides the premiums, uplifts and floors applied to the day. The label says which level the answer comes from; the link on the right lets you force it. - 4
Place the hours
The four quick-fill templates cover the usual shifts: day, evening, night. One click fills the start and the end; the fields stay editable afterwards.
An end earlier than the start is not an error: the shift ends the next day, and the interface says so under the field. That is how a night shift is placed.
“Add a shift” serves days broken by a long interruption. Two shifts, or one break?
An interruption of more than two hours is modelled as two distinct shifts. Two hours or less is a break inside the shift. The distinction is not cosmetic: it changes the calculation of paid hours.
- 5
Set the breaks
Each break carries a duration and a “Paid” box. That box is what separates gross duration from paid hours: an unpaid 30-minute meal break takes half an hour off the pay, not off the attendance.
“Decree breaks” applies the regime the agreement provides in one go, rather than retyping it for every shift.
Each break is capped at two hours: beyond that, it is a second shift. - 6
Read the total before saving
The foot of the dialog keeps a live count: the number of shifts, the gross duration, what unpaid breaks take away, the hours actually paid, and an estimate in dollars.
This is the moment to check. A gap between gross duration and paid hours that surprises you always comes from the breaks.
“Repeat on” to the left: each ticked day becomes a distinct schedule, movable on its own. 8 h 30 on site, 30 minutes of unpaid break, 8 hours paid. - 7
Create
The shift is placed and becomes visible in the calendar. If “Repeat on” covered several days, that many distinct schedules are created at once: each one moves or cancels afterwards without touching the others.
The counter at the foot of the page follows: shifts planned, hours paid, estimated payroll.
What to remember
A schedule is not a timesheet
The shift is a forecast. What gets paid comes from the real punches, compared against that forecast. The gap between the two is precisely what timesheet review is there to settle.
Absences go through the same dialog
“Schedule type” is not limited to regular work: sick days, vacation and leave are placed in the same place. They occupy the day in the calendar and feed the banks the decree provides for.
